We are looking for a candidate who is passionate about customer service and providing exceptional candidate and employee experiences. This position will be responsible for supporting the human resources department and overall front office activities, including reception area, mail, purchasing, and facilities.

Working hours 2:30 pm-10:30 pm

Job Duties and Responsibilities:

  • Support to the Human Resources team;
  • Assist with the day-to-day operations including filing, compiling, and maintaining employee records (paper and electronic);
  • Maintains the integrity and confidentiality of human resource files and information;
  • Manage posting positions on various job boards;
  • Assist in the recruitment process managing candidate databases, scheduling interviews, and completing employment verifications.
  • Coordinate HR projects such as meetings, training, orientation, surveys, and social events;
  • Perform data entry in the HR database for new hires, changes, terminations, and benefits;
  • Organize employee orientation, create new employee files, ensuring all necessary paperwork is properly completed.
  • Run reports from HRIS and timekeeper systems;
  • Manage the payroll system
  • Update information with the benefits vendor with new hires and terminations. Organize company events and job fairs
  • Calendar management for VP of Operations/HR and Global HR SVP.
  • Manage the reception area to ensure effective telephone and mail communication, and maintain a professional image;
  • Greet and direct visitors to the company in a friendly and professional manner;
  • Responsible for the facilities day to day operations;
  • Ensure the physical appearance of the office is maintained, clean, and neat;
  • Order office supplies and provide inventory control system;
  • May be required to perform other tasks and duties reasonably related to job responsibilities.

Experience/Knowledge, Skills & Abilities:

  • B2 English level proficiency and fluency.
  • BA degree required or an equivalent combination of education and experience may be considered in lieu of a degree;
  • 1-year related work experience required;
  • Skilled at multi-tasking; able to coordinate, organize, prioritize, and execute responsibilities in the face of conflicting priorities and unexpected situations;
  • Ability to effectively handle and meet deadlines in a fast-paced office;
  • Fluency with Microsoft Office (Word, Excel) and Google Docs;
  • Strong interpersonal and relationship-building skills and a strong phone presence is a must;
  • Effective verbal and written communication skills is a must;
  • Strong work ethic and team player;
  • High level of discretion, and ability to control and protect highly confidential information.
